About this Role:

This role plays a critical function in the ownership and delivery of ADAPT’s Private Events which consists of both virtual and in-person events. ADAPT have created market leading virtual and in-person events hosting end user c-level/executive peers and global speakers in an intimate and curated 90-minute to 2 hour session.

The role incorporates three main aspects: Event Management, Project Management & Client Management.

The role supports the Operations Director, Sales Leaders, Analysts, Marketing & Data Director in the creation, logistics and delivery of industry leading events across Australia and New Zealand. This will include internal and external stakeholder management as part of end-to-end project management and execution.

The role also includes supporting the event team with the Edge event product, assisting with pre-event preparation and onsite delivery. Interstate and New Zealand travel is required for this position.

The role requires someone who can think analytically and creatively with great interpersonal and communication skills.

Key Areas of Responsibility:

  • Client Onboarding & Journey Management – Manage onboarding for new and returning clients, guiding them through key stages of deliverables to ensure clarity, momentum, and successful delivery of private event
  • Client Relationship & Engagement Management – Build and maintain strong client relationships, ensuring ongoing engagement and confidence through regular communication, key touchpoints and briefings via email and Teams.
  • Stakeholder & Communication Management – Coordinate with internal teams, speakers, and clients via email, Outlook calendars, and briefing calls to align expectations and deliverables.
  • Venue & Logistics Oversight – Oversee venue and logistics coordination in partnership with the Events Manager, providing guidance and quality assurance on all event planning and logistics to ensure seamless, high-quality event delivery in line with the Client’s outcomes.
  • Client Event Project Tracking & Reporting – Provide weekly updates, manage deadlines, and track progress of your client events to ensure timely and efficient event execution.
  • Cross-Team Collaboration – Work closely with Sales, Data, Event Managers and Delegate Acquisition teams to ensure alignment and smooth execution of events.
  • CRM & Systems Management – Maintain and update platforms & workflows in HubSpot, Salesforce, ClickUp, OneDrive, and ARC to optimise project tracking.
  • On-Site Client Event Delivery – Independently manage client roundtable events, including interstate and NZ travel as required, ensuring a seamless experience for each event and valued ADAPT client.
  • Post-Event Analysis & Continuous Improvement – Gather feedback, analyse event success, and implement process enhancements for future improvements.
  • Client Retention & Growth – Evaluate post-event client satisfaction and engagement, using insights from feedback and conversations to support retention and future opportunities.
  • Process Innovation & Efficiency – Identify and implement new ways to enhance ADAPT’s event processes, workflows, and overall operational efficiency.
  • Personal & Professional Growth – Invest in continuous learning, relationship-building, and refining best practices to maximise personal and team impact.

 

Skills & Experience You Will Need:

  • Proven experience owning end-to-end client onboarding and delivery for small to mid-size, high-value events
  • Skilled at building long-term client relationships and guiding clients through key decisions
  • Confident stakeholder lead, coordinating internal teams, partners, and speakers to deliver successful client outcomes
  • Solid understanding of event delivery, logistics, and venues, with a strong eye for quality and risk
  • Proven project management skills, successfully juggling multiple timelines and priorities independently
  • Experienced in using CRM and workflow tools (HubSpot, Salesforce, ClickUp) to improve efficiency and scale operations
  • Experienced onsite lead, managing events independently across interstate and NZ, representing the business with confidence
  • Commercially minded, using insights and feedback to drive client retention and growth
  • Proactive, strategic self-starter with strong ownership and high standards of success
