About this Role:

This role plays a critical function in the ownership and delivery of ADAPT’s Private Events which consists of both virtual and in-person events. ADAPT have created market leading virtual and in-person events hosting end user c-level/executive peers and global speakers in an intimate and curated 90-minute to 2 hour session.

The role incorporates three main aspects: Event Management, Project Management & Client Management.

The role supports the Operations Director, Sales Leaders, Analysts, Marketing & Data Director in the creation, logistics and delivery of industry leading events across Australia and New Zealand. This will include internal and external stakeholder management as part of end-to-end project management and execution. The role also includes supporting the event team with the Edge event product, assisting with pre-event preparation and onsite delivery. The role requires someone who can think analytically and creatively with great interpersonal and communication skills.

Full time and part-time position available.

Key Areas of Responsibility:

  • End-to-End Event Management – Plan, coordinate, and execute roundtable events, ensuring seamless logistics and on-site delivery.
  • Client Onboarding & Relationship Management – Manage onboarding for new and returning clients, maintain strong relationships, and ensure ongoing engagement via email and Teams presentations.
  • Venue & Logistics Coordination – Source venues, create run-sheets, and oversee all logistical details to deliver high-quality events.
  • Stakeholder & Communication Management – Coordinate with internal teams, speakers, and clients via email, Outlook calendars, and briefing calls to align expectations and deliverables.
  • Project Tracking & Reporting – Provide weekly updates, manage deadlines, and track progress to ensure timely and efficient event execution.
  • Cross-Team Collaboration – Work closely with Sales, Data, and Delegate Acquisition teams to ensure alignment and smooth execution of events.
  • CRM & Systems Management – Maintain and update workflows in HubSpot, Salesforce, ClickUp, OneDrive, and ARC to optimise project tracking.
  • Budget & Financial Oversight – Ensure roundtable events stay within budget and report financial details to the accounts team.
  • On-Site Event Execution – Independently manage roundtable events, including interstate travel as needed, ensuring a seamless experience.
  • Post-Event Analysis & Continuous Improvement – Gather feedback, analyse event success, and implement process enhancements for future improvements.
  • Process Innovation & Efficiency – Identify and implement new ways to enhance ADAPT’s event processes, workflows, and overall operational efficiency.
